Approximately three months prior to the actual reunion, the membership will receive a copy of the Reunion Registration Form. This form is generated by RTR and forwarded to the Reunion Chairman for distribution to the membership, either directly or as part of the Association Newsletter. Association members will then fill out the form and check the blocks for each event that they wish to participate in. Each event is priced seperately so your members pay only for those events they select. Totals are then entered on the registration form and totaled. Members then simply forward the registration form along with payment to RTR.
Once RTR receives the registration form, our staff will assemple the individual registration package. Name tags are custom made for each individual listing their name, state and the name of the command. This information is printed on a unique name tag that is created for each Association. We produce color coded tickets for each event listed in the reunion itinerary. An event ticket pack is assembled for each individual and also placed in the registration envelope. The registration envelope also contains a copy of the reunion itinerary and any items that the Reunion Chairman wishes us to pass out at the reunion for the Association. The registration package is then checked by our staff and shipped to the hotel. Once the member arrives at the registration table, RTR Staff will remove the contents of the registration envelope and explain each item. Any errors, omissions or changes are handled on the spot. Attendee's will be able to modify or add tours or other events provided seating is available.
Individual custom name tags are produced using graphics submitted by the Reunion Chairman or if he requests, MRTR will produce graphics for name tags and submit them for approval. Name tag graphics are best produced from quality black and white photographs. Color graphics submitted to MRTR are copied to a high resolution black and white image and the original is returned to the Reunion Chairman. The black and white image is then converted to a watermark and printed on blank name tag cardstock.
Personal information from the individual registration forms is entered into our data bases and printed on the name tag cardstock. The name tags are then inserted into the clear plastic name tag holder and placed in the registration envelope. MRTR produces the graphics for nametags which are then watermarked onto each blank name tag. Name Tags are then personalized for each attendee. Additional blank name tag will be onhand at the reunion in the event of any required changes.
All group events require a ticket for participation. Color coded tickets allow MRTR staff to keep an accurate count of the number of participants in each event. This helps ensure that your Associaation is charged the correct amount for the buffet and banquet dinners, tours and any other events on the reunion itinerary. We incude the name of the Association, Hotel Name and Association Graphic on the cover. Each subsiquent ticket is then added in the order that they will be needed for the duration of the event. Meal tickets are color coded to assist the catering staff with determining which entree your members will receive at the banquet dinners. The hotel is advised that meals will be charged based on ticket count to prevent errors in your final bill. Along with color coding, each ticket lists the event, time and date along with the phone number of the hotel. Tour tickets are collected when attendee's board the coach.
We include a ticket with the name and phone number of the hotel as well as the phone number of the MRTR On Site Representative. Some groups also include a final ticket stub that provides information on the next reunion.
Additional tickets such as beverage or raffle table tickets can be provided and assembled into the Event Ticket Package at the request of the Reunion Chairman. A full reunion itinerary is also included in the registration package.
